Case 08 · Project controls
Keep the schedule connected to verified project reality.
Meeting decisions, approved changes, field progress, procurement events, and constraints can be organized against the active schedule. Alæc helps explain their likely impact and prepares proposed task, date, dependency, or milestone updates; the project manager resolves planning logic and authorizes publication.

- A current schedule with controlled updates

The working situation
The schedule ages when field evidence and planning decisions live elsewhere.
An update is trustworthy only when each proposed change can be traced to a verified event and evaluated against dependencies, calendars, baselines, and contractual controls.
Events arrive through many channels
Site reports, meeting minutes, changes, procurement updates, and discipline decisions may all affect planned work.
Planning logic is consequential
Dates, durations, dependencies, constraints, resources, calendars, and baselines interact in ways that require project-control judgment.
Progress requires evidence
Percent complete, actual dates, and forecast changes must use agreed measurement rules and verified sources.
Publishing changes authority
Only the project manager or authorized scheduler decides what becomes the current schedule of record.
An event-to-schedule flow
Relate evidence, propose impacts, validate logic, and publish deliberately.
The workflow separates interpretation of project events from the deterministic schedule model and its authorized update.
- 01
Connect the current schedule
The approved schedule version, coding structure, calendars, baselines, and permissions define the planning context.
- 02
Relate verified events
Alæc maps authorized progress, decisions, and constraints to candidate tasks and explains the evidence behind each relationship.
- 03
Prepare an update proposal
Field mappings and validation rules produce proposed actuals, forecasts, dependencies, notes, and unresolved exceptions.
- 04
Recalculate and challenge
The project manager reviews logic, critical paths, float, resource impacts, contractual dates, and alternative responses.
- 05
Approve and publish
Authorized changes are applied through the supported connector or entered from the reviewed update package, then recorded as a new version.
The work product
A schedule-update package with evidence and exceptions attached.
The project manager sees what is proposed, why, and what remains unresolved before any schedule-of-record change occurs.
Schedule update · Proposed changes
- Current schedule version, data date, baseline, and source events
- Proposed actuals, forecasts, durations, dependencies, and notes
- Calculated impacts, exceptions, conflicts, and missing evidence
- Approval record, published version, and follow-up actions
No autonomous schedule-of-record write-back
The project manager validates planning logic, contractual impact, and source evidence. Updates are published only through an authorized, auditable process.
Conditions for the result
A proposed change with a traceable decision.
Project events can justify a revision, but they do not determine a new date by themselves. The schedule model, agreed rules, and the responsible person’s decision govern the change.
Explicit version and data date
Every proposal identifies the schedule version and reporting cut-off it was built against. These reference points avoid comparing a recent observation with a baseline of a different scope or date.
Evidence-linked changes
Proposed task updates point to verified events and agreed progress rules. The responsible person needs to distinguish the observed fact from its proposed effect on an activity or date.
Validation before write-back
Field mapping, date, dependency, calendar, and permission checks run before publication. The integration cannot be considered ready until these checks and change controls have been defined.
Auditable approval
The authorized reviewer, accepted changes, rejected changes, and resulting version are recorded. The record makes the decision understandable without confusing a prepared suggestion with an update already applied.
Integration-dependent scenarioRequires a supported Microsoft Project or scheduling-data integration, agreed field mappings, permissions, and a controlled write-back process. Without a connector, Alæc can prepare an update package for manual review.
